What is an FF&E schedule, and what has to be in it
The document that lists every loose item in a project, what each column is for, who reads it, and why it goes stale between the first draft and the order.
An FF&E schedule is the list of everything in a project that is not part of the building: furniture, fixtures and equipment. One row per item, one column per fact the people after you need. It is the most copied document on a project and the one that is wrong most often.
FF&E stands for furniture, fixtures and equipment. Furniture is the loose pieces: sofas, tables, beds, chairs. Fixtures are the things attached to the building that are still chosen item by item: lights, taps, handles, mirrors. Equipment covers appliances and anything with a plug or a spec: ovens, fridges, screens. Different offices draw the lines differently. The schedule does not care; it lists all of it.
What an FF&E schedule is for
The schedule is the contract between design and everyone who has to buy, deliver, install and pay for the design. The client signs off on it. The contractor prices from it. The supplier ships against it. The site manager checks deliveries against it. When any of them asks "which lamp was that", the answer is a row on the schedule, not a memory.
That is why it has to be true at every stage. A drawing can be a little vague and still work. A schedule with the wrong product code orders the wrong product.
FF&E schedule columns
Every office has its own template, and every template is a variation of the same set of columns. These are the ones a schedule cannot do without.

| Finish and colour | The variant that was chosen. A product page shows six; the schedule names one. |
| Price | Unit price with its currency, whether tax is in, and whether delivery is. Delivery on a sofa can cost what a chair does, and it is the number most often left off. Quantity and the line total sit beside it. |

Quantity, location (which room, which drawing) and a notes column usually join these. Lead time, as quoted and dated, joins them the moment a delivery date matters, which is earlier than most schedules admit; delivery status is added once the project is on site.
Who reads an FF&E schedule, and what each of them wants
The client wants pictures and prices. They read the schedule as a catalogue of what they are buying, and they read it on a phone.
The contractor or purchaser wants product codes, suppliers and quantities. They will not read your notes. They will order exactly what the code says.
The site team wants dimensions and locations. They are checking that the thing in the box fits where the drawing puts it.
One document serves all three, which is why the columns matter more than the layout. The same rows get printed as a table for the contractor and as cards for the client.
How an FF&E schedule is made, and where the time goes
The values on the schedule are on the supplier's product pages. Making the schedule means moving them. Open the page, find the dimensions, the material, the finish, the price and the code, type them into the row, save the image, move to the next link. Then lay the sheet out, export it, find a mistake, fix it, export it again.
A lighting schedule for one apartment, about forty products with eleven values each, takes the better part of an afternoon done this way. A whole house or a hotel floor is days. None of that time is design.
Why the schedule goes stale
The schedule is written once and then the project changes around it. A product is discontinued and swapped. The client picks a different finish. A price is updated on the supplier's site. Each change is a row to find and retype, in a document that is now in three people's inboxes as three different PDFs.
The usual fixes are a shared spreadsheet, a version number in the file name, and a habit of re-sending the whole thing. They help. They do not remove the retyping, and they do not tell a reader which value was checked and which was copied in a hurry.
An FF&E schedule that stays true
The rows live in one place and the printed sheets are generated from them, so a change is made once. Each value says where it came from, so a reader can tell a supplier's figure from an edit. Each row says how complete it is, so the open fields are named instead of hunted for. And the page the value came from is one click away.
